Import a statement to auto-clear in CosmoLex

CosmoLex is legal practice management with built-in accounting, and when you reconcile a bank account it can import the statement to clear transactions for you. It accepts a QBO file from your bank's website, or an Excel or CSV file, and works across operating, trust, and credit card accounts. On import, CosmoLex matches the statement lines against the entries already in the account and auto-clears the ones that agree, so you review exceptions instead of ticking every row. A PDF statement gives you none of those file types, so converting it to CSV or Excel is what makes the auto-clear step possible.

Three-way reconciliation for trust and IOLTA

The reason this matters most to law firms is trust accounting. CosmoLex offers one-click three-way reconciliation, the check that a trust or IOLTA account requires: the bank balance, the book balance, and the total of every client matter's ledger all have to agree. It generates a report showing whether they match and archives it for future audits. Importing an accurate statement feeds the bank side of that comparison, so the three-way report reflects real cleared activity rather than figures keyed in by hand.

Trust transactions and the Matter-Key

Bringing trust history in has its own path. You click the plus icon at the top right and choose Import Trust Transactions Data, then pick your Excel or CSV file. Each trust bank account is exported to its own file, and the values go into the Trust Transactions tab of CosmoLex's Financial Import Excel Template, including a Matter-Key that ties each transaction to the right client matter. Converting the statement gives you clean, column-separated rows to place into that template rather than untangling a PDF's layout by hand.

Getting the statement into the right file

Whichever account you are reconciling, the input CosmoLex wants is a clean list of transactions with dates, amounts, and descriptions, as a QBO, Excel, or CSV. A PDF hides that inside a page layout, so converting it pulls the transactions out as separate columns you can save as CSV or Excel and line up against the reconciliation import or the trust template. The cleaner the file, the more lines CosmoLex auto-clears and the fewer you touch.

Accuracy and privacy

Trust accounting leaves no room for a misread figure, since a three-way reconciliation has to balance to the cent, so every transaction is reviewable in the converter before export. The output arrives as a clean CSV or Excel ready for the import or the trust template. Because a statement holds real client and firm account activity, the file is processed to build it and then deleted automatically, with nothing kept on a server afterward.

How it works

  1. Convert the PDF: Convert the PDF bank statement into a CSV or Excel file (or use a QBO file from your bank).
