Why Xero won't import your PDF statement

Xero has no route that reads a PDF bank statement. Its manual import path expects a CSV, and its automatic path is a direct bank feed, but neither one can take the printed page your bank gives you. A PDF is a picture of a statement to Xero, not a list of dated amounts, so the numbers stay locked in the document. This is the wall bookkeepers hit when a bank feed is unsupported or has missed a month: the data exists, but not in a shape Xero accepts. The fix is to convert the PDF into a CSV that matches Xero's expected columns, then use the built-in Import a Statement tool, and the transactions flow into the account's reconciliation screen.

The Xero CSV format: columns and date rules

Xero's statement CSV uses six possible headers: Date, Amount, Payee, Description, Reference, and Cheque Number. Only Date and Amount are required. Put every transaction in a single Amount column, using positive numbers for money received and negative numbers for money paid out. The date format has to match your Xero organisation's region: a US organisation expects MM/DD/YYYY, and Xero also accepts YYYY-MM-DD, but the format must be identical on every row or the import fails. Strip currency symbols and thousands separators from the Amount column, since a value like 1,250.00 will not parse. A converter that outputs these headers cleanly saves you from reshaping the file by hand in a spreadsheet.

How to import the statement in Xero

In Xero, go to the Dashboard or Bank accounts screen and find the account you are importing into. Click the account's menu icon, the three dots or manage button, and choose Import a Statement. If you want the exact layout, use the link there to download Xero's CSV template first. Select your converted CSV file and click Import. Xero shows a mapping step where you match your columns to its Date, Amount, Payee, Description, and Reference fields; confirm each one and continue. Xero previews the transactions, then loads them into the Bank statements tab so they appear in Reconcile ready to match against bills, invoices, and rules.

Precode your CSV to reconcile faster

Xero lets you precode a statement CSV so lines categorize themselves on import. Add three extra columns to the file, AccountCode, TaxType, and ContactName, and Xero assigns each transaction to that account and tax rate and contact as it loads. For a bookkeeper processing the same recurring vendors every month, precoding turns reconciliation from a line-by-line click-through into a quick confirm. Match the ContactName exactly to an existing Xero contact so you do not create duplicates. Precoding is optional: a plain Date and Amount file imports fine and you reconcile with Xero's bank rules instead.

Import limits, common errors, and privacy

Keep each import to around 1,000 lines for a smooth upload; split a long history into separate files by date range if needed. The errors that trip people up are all formatting: a date format that does not match the organisation region, currency symbols left in the Amount column, blank rows, or a header Xero does not recognise. If an import is rejected, open the CSV, fix the offending column, and import again. Because these are client bank statements, files are processed to build the CSV and then deleted automatically, so nothing sensitive is retained after the conversion, which supports the confidentiality terms in a bookkeeping engagement.
